2. What we collect and why
Visiting the site
You can read every page of this site without giving us any personal information. There are no user accounts, no comments and no forms other than the newsletter sign-up. The site is delivered by Cloudflare, which processes your IP address and browser details in order to send you the pages and protect the site from attack. We do not keep logs of visitors ourselves. The fonts and pictures come from our own domain, so a visit tells no other company anything.
We count visits with Cloudflare Web Analytics, which sets no cookies and does not identify or follow individual visitors. It tells us how many people read which pages, and nothing about who they are. Legal basis: our legitimate interest in running the website and keeping it secure (GDPR Article 6(1)(f)).
The newsletter
When you sign up to our newsletter on the Join our community page, we collect your name and email address, your surname and organisation if you give them, and your preferred language, and use them to send you news of our events and community. The form is provided by MailerLite. We send you an email first, and you are subscribed only when you confirm by clicking the link in it. Legal basis: your consent (GDPR Article 6(1)(a)). You can withdraw it at any time with the unsubscribe link in every email.
Emailing us
When you write to us, your message and your email address reach the committee members who deal with it, in their own email accounts. We use them only to answer you, and we keep them only as long as we need to deal with what you wrote about. Legal basis: our legitimate interest in replying to people who contact us (GDPR Article 6(1)(f)).
People who appear on the site
We share photographs taken at our events so that people can see what the association does. They are general photographs of the occasion, and at a large event it is not possible to ask everyone in them. Committee members’ names and photographs, any contact details they choose to share, and quotations from women, are published only with the agreement of the person concerned.
If you appear on the site and would like a photograph, or anything else about you, changed or taken down, write to us and we will do so. Legal basis: for event photographs, our legitimate interest in showing the association’s activities (GDPR Article 6(1)(f)), which you can object to at any time; for committee profiles and quotations, your consent (GDPR Article 6(1)(a)).
Committee members who edit the site
The few committee members who edit the site sign in through GitHub and Cloudflare Access, which process their name and email address for that purpose. Legal basis: our legitimate interest in keeping the site secure (GDPR Article 6(1)(f)).
3. Who processes data for us
We use these services to run the website and our communications. Each processes data only on our behalf and under a data processing agreement:
- Cloudflare (Cloudflare Inc., USA): delivers the website, protects it and counts visits. Cloudflare is certified under the EU-US Data Privacy Framework.
- MailerLite (UAB MailerLite, Lithuania): our newsletter. MailerLite is established in the EU.
- Google Workspace: receives email sent to the association’s addresses and passes it on to the committee members who answer it.
- GitHub: holds the website’s files and signs in the committee members who edit it. It holds no visitor data.
We do not sell your personal data, and we do not share it with anyone beyond the services above unless the law requires it.
4. How long we keep it
- Newsletter: while you are subscribed. If you unsubscribe, MailerLite keeps your address marked as unsubscribed so that you are not emailed again. You can ask us to delete it altogether.
- Emails to us: as long as we need them to deal with what you wrote about.
- People who appear on the site: until you ask us to remove them.
5. Your rights
Under the GDPR you have the right to:
- Access: ask for a copy of the personal data we hold about you
- Rectification: ask us to correct inaccurate data
- Erasure: ask us to delete your data where there is no overriding reason to keep it
- Portability: receive your data in a machine-readable format
- Restriction: ask us to pause processing while a dispute is resolved
- Objection: object to processing based on our legitimate interests
- Withdrawing consent: at any time, where we rely on your consent
To use any of these rights, write to us at [email protected]. We will reply within one month. If you are not satisfied with our reply, you can complain to the Spanish supervisory authority, the Agencia Española de Protección de Datos (AEPD), at www.aepd.es.
6. Cookies
This website sets no cookies of its own, and uses no advertising or tracking cookies. Cloudflare may set a strictly necessary security cookie to protect the site from automated attacks. Because nothing else is stored on your device, the site does not ask for your consent to cookies.
7. Changes to this policy
We may update this policy from time to time. The date at the top of the page shows the most recent change, and we will tell newsletter subscribers about any important one.
